Privacy policy

How KVC Technology handles personal information, in line with the Australian Privacy Principles.

About this policy

This policy explains how KVC Technology Pty Ltd (ABN 74 698 813 062), trading as KVC Technology ("we", "us" and "our"), collects, uses, discloses and protects personal information. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

When we provide services to a government agency, we also follow the privacy obligations in our contract with that agency.

The personal information we collect

When you send an enquiry, we collect your name, email address, phone number if you give it, your organisation, your message and any files you attach, along with any other details the form asks for.

With your enquiry, we also record:

  • that you agreed to this policy, its version and when you agreed
  • the page you sent the enquiry from, and how you reached the website: the page that referred you and any campaign details in the link
  • your browser type, and a coded version of your internet (IP) address that cannot be read back into the address.

When you visit the website, our systems record technical information needed to deliver and protect it, such as your IP address, your browser and the pages you request. These records are kept for a limited time.

Analytics and advertising information is collected only if you agree to it in the cookie choices. It never includes your name or contact details.

When you work with us, we collect the information needed to provide our services, prepare quotes and invoices, and keep the records the law requires.

We do not ask for sensitive information, such as information about your health, racial or ethnic origin, or religious beliefs. Please do not send it to us. If we receive personal information we did not ask for and do not need, we destroy or de-identify it where it is lawful to do so.

How we collect it

We collect most personal information directly from you: when you send an enquiry, email or call us, or work with us. We collect technical information automatically when you use the website. When we provide services to an organisation, we may also receive information about its staff from that organisation.

Dealing with us without identifying yourself

You can browse the website without telling us who you are. You can also ask us general questions without giving your name, although we need a way to contact you if you would like a reply.

How we use it

We use personal information to:

  • reply to your enquiry and provide what you ask for
  • provide, manage and invoice our services, and keep our business records
  • operate, secure and improve the website, including detecting spam and misuse
  • understand how the website is used, if you agree to analytics
  • send you news about our services, if you agree to receive it or the law otherwise allows it
  • meet our legal obligations.

You can stop receiving news from us at any time, free of charge, using the unsubscribe link in any message or by contacting us.

We do not sell personal information.

We do not send your enquiries or contact details to artificial intelligence (AI) services. The AI tools we use to help write our own website content never receive them.

We do not use computer programs to make decisions about you that could significantly affect your rights or interests.

Who we disclose it to

We disclose personal information to service providers who help us run the website and our business. They may use it only to provide their service to us.

We may also disclose personal information where the law requires or authorises it, to protect our legal rights, or to a buyer of our business, who would hold it under the same protections.

Personal information held outside Australia

Some personal information may be stored or processed outside Australia. Before that happens, we take reasonable steps to ensure it is protected in a way that is consistent with the Australian Privacy Principles.

Cookies

The website uses these cookies:

  • site_consent remembers your cookie choices, for 6 months.
  • site_theme remembers the light or dark appearance, if you choose one, for 1 year.
  • site_arrival remembers how you reached the website, so an enquiry can tell us which page or campaign brought you. It is set only if you allow analytics or advertising, and lasts 90 days.
  • Security cookies may be set when the website checks that a visitor is a person and not an automated program, for example before an enquiry is sent. They are strictly necessary, are used only for that check, and expire within a day.
  • Analytics and advertising cookies are set only if you allow them, for as long as each provider sets.

You can change your choices at any time with "Cookie choices" at the foot of every page, or through your browser settings. Blocking cookies may stop parts of the website from working.

How we protect it

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, change and disclosure. Access is limited to the people who need it, protected by a second sign-in step and recorded in an audit log. Our security statement has more detail. No method of storing or sending information electronically is completely secure.

If a data breach is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.

How long we keep it

We keep personal information only for as long as we need it for the purposes in this policy, or as the law requires, such as for business and tax records. When we no longer need it, we take reasonable steps to destroy it or de-identify it.

Access, correction and deletion

You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading, or ask us to delete it where the law allows. To make a request, contact us using the details below. We may need to confirm who you are first.

We will respond within 30 days, at no charge. If we refuse a request, we will tell you why in writing and how you can complain.

Complaints

If you think we have mishandled your personal information, please contact us in writing with the details. We will look into it and respond within 30 days.

If you are not satisfied with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.

Children

The website is intended for businesses and public-sector organisations. It is not directed at children.

Links to other websites

The website links to websites and services we do not control. We are not responsible for their privacy practices. Please read their privacy policies before you give them personal information.

Changes to this policy

We may update this policy when our business, our technology, the way we handle personal information or the law changes. The current policy is always published on this page with the date it was last updated.
